Best for most businesses taking cards online. Money goes to your bank on a schedule you choose.
1. Create your account
Go to dashboard.stripe.com/register and sign up with your business email.
Choose Canada, then complete “Activate payments”: business type, your details and the bank account for payouts.
2. Copy your keys
In Stripe, turn on Test mode (top right) and open Developers → API keys.
Copy the Publishable key (pk_test_…) and reveal and copy the Secret key (sk_test_…).
In BookNavio go to Settings → Payments → Stripe, paste both keys, tick “Take card payments with Stripe”, choose Test and save.
Press “Test Stripe”. You should see “Stripe connected”.
3. Try it, then go live
Book on your own booking page and pay with the test card 4242 4242 4242 4242, any future date and any CVC.
When it works, turn Test mode off in Stripe, copy the live keys (pk_live_ / sk_live_) into the Live fields, set Mode to Live and save.
💡 Refunds are made in your Stripe Dashboard: Payments → choose the payment → Refund.

Interac e-Transfer
Free or cheap for most Canadian business accounts, and every client knows how to use it.
1. At your bank
Register a receiving email in your business online banking (e.g. payments@yourclinic.ca).
Turn on Autodeposit so clients don’t need a security question.
2. In BookNavio
Settings → Payments → Interac e-Transfer: tick “Let clients choose to pay by e-Transfer” and enter the same email.
Optional: write your own instructions using {amount}, {email} and {business}.
Clients now see e-Transfer on the booking form, with instructions on the confirmation page and email.
3. When the money arrives
Open the appointment, choose “How they paid: Interac e-Transfer”, check the amount and press Record payment.
💡 Unpaid e-Transfer bookings stay in the “Unpaid” total on your dashboard until you record them.
🏪
In person: terminals, cash and cheques
Use any terminal you already have (Square, Moneris, Helcim, Clover or your bank’s) and keep one record of everything.
1. At checkout
Open the appointment from the calendar and mark it Completed.
Under Take payment choose how they paid: cash, debit, credit card terminal, cheque, e-Transfer or insurance.
Check the amount (change it for a part payment) and press Record payment.
2. Receipts
Press Email receipt or Print receipt. Receipts show your GST/HST number and the practitioner’s designation and registration number.
💡 Reports show totals by payment method so your daily cash-out matches the terminal batch.
🎁
Packages, memberships and gift cards
Sell prepaid visits and gift cards and let BookNavio count the balances.
1. Packages and memberships
Packages & gift cards → New package. Choose Package (visits paid up front) or Membership (visits every month), the price, visits and which services it covers.
Sell it from the client file (Packages tab) and record how they paid.
At checkout press “Use a package visit” on the appointment.
2. Gift cards
Packages & gift cards → Gift cards → Sell a gift card. Enter the amount, who it’s for and how it was paid; the code is emailed to them.
At checkout press “Pay with a gift card” and type the code. Any balance stays on the card.
💡 Packages and gift cards count as sales when they are sold, not again when they are used, so your reports stay accurate.

Insurance receipts and direct billing
Help clients claim their benefits, or bill insurers yourself.
1. Set up
Add each practitioner’s designation (e.g. RMT, PT), registration number and college on their staff profile.
Turn on Settings → Insurance to collect coverage details when clients book.
2. Client claims it
Clients open their receipt from their account or email and submit it to their insurer.
3. You bill the insurer
On the appointment open “Bill an insurer for this visit”, choose the insurer and amount, and submit the claim in the insurer’s provider portal (e.g. TELUS eClaims or Alberta Blue Cross).
Record the claim number and set the status to Submitted.
When the insurer pays, enter the amount paid: it is applied to the visit and the client pays only the rest.
💡 Insurance claims shows everything waiting on insurers and how many days each claim has been outstanding.
